In return, you can prepare party favors to give to your guests at the end of event, as a form of appreciation for their presence and time.

You can outsource the whole party organization process if you don't have the time to put it together on your own. Professional party organizers or the staff members at the gym would be willing to help out at a fee. If you have the time, you can organize the party on your own.

It helps to begin making plans as early as possible. This will prevent you from having a last minute rush. It will also allow you to give ample notice to your guests about the event, so that they are prepared to attend. Know what the cancellation policy of the gym is. This will come in handy in case you want to postpone or call off the event.
